1. Introduction

Pulse is a business operations and inventory management platform. We are committed to protecting your personal information and the confidentiality of your business data. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use the Service. Please read it carefully. If you disagree with its terms, please discontinue use of the Service.

2. Two Distinct Categories of Data

It is important to distinguish between two separate categories of data handled by the Service:

Your Business Data (Tenant Data)

This includes all operational content you create or upload within the Service — customer records, work orders, employee schedules, route information, materials, inventory, uploaded files, and any other business information belonging to you or your customers. This data is yours exclusively. We store it on your behalf solely to operate the Service for you. We do not analyze it, mine it, share it with third parties, or use it for any purpose other than providing the Service to your organization. Your customers' personal information contained within your business data is subject to the same protections — it is never accessed by us for analytics or any other secondary purpose.

Platform Account Data (Our Data)

This is the limited set of information we collect about you as a user of the platform — account credentials, subscription status, and anonymous usage signals described in Section 4 below. This is the data this Privacy Policy primarily governs.

3. Account Information We Collect

For your platform account, we collect:

  • Account data — email address, display name, role, and password (stored as a bcrypt hash; we never store your plaintext password)
  • Payment data — billing and subscription information processed securely through Stripe; we do not store full card numbers or sensitive payment credentials on our servers
  • Communications — messages, support requests, or feedback you send to us directly
  • Device and technical data — IP address, browser type and version, operating system, and referring URLs, collected for security monitoring and abuse prevention

4. Anonymous Analytics Data

We collect anonymous, aggregated usage signals at the application level to understand how the platform is used and to improve the product. This analytics data contains no business content and no personally identifiable information about you or your customers. It is limited to behavioral signals about how users interact with the application interface:

  • Which pages and navigation flows are visited within the app
  • Which features are used and how frequently
  • Session duration and general usage patterns
  • Application errors and performance metrics

This data never includes the content of your records, the details of your customers, or any information from the data you upload. It is used exclusively to:

  • Identify usability issues and improve the user experience
  • Prioritize development of features that deliver the most value
  • Monitor system health and proactively resolve performance issues

Analytics data is never sold and never shared with third parties for advertising or marketing purposes.

5. How We Use Account Information

The account information we collect (Section 3) is used to:

  • Create and manage your account and subscription
  • Authenticate your identity and protect your account
  • Process transactions and send billing-related communications
  • Send transactional emails including account verification and password resets
  • Respond to support requests and provide customer service
  • Detect, investigate, and prevent fraud, abuse, or security incidents
  • Comply with applicable legal obligations

6. Legal Basis for Processing (GDPR)

If you are located in the European Economic Area (EEA), our legal bases for processing personal data are:

  • Contract performance — processing necessary to deliver the Service you have subscribed to
  • Legitimate interests — anonymous product analytics, fraud prevention, and security monitoring
  • Legal obligation — compliance with applicable laws and regulations
  • Consent — where required for specific processing activities such as optional cookies

7. Data Sharing and Disclosure

We do not sell, rent, or trade your personal information or your business data. We may share account information in the following limited circumstances:

  • Infrastructure providers — hosting and database providers who store data on our behalf under strict confidentiality agreements; they have no access to your business content for their own purposes
  • Payment processing — Stripe processes billing transactions; they receive only the information necessary to complete the transaction
  • Transactional email — email delivery services used solely to send account and billing notifications
  • Legal requirements — when required by law, court order, or governmental authority, or to protect the rights, property, or safety of our users or the public
  • Business transfers — in connection with a merger, acquisition, or sale of substantially all assets, subject to the acquirer honoring commitments in this Privacy Policy

Your business data and your customers' data are never shared with or disclosed to any third party except as required by law.

8. Data Retention

Account information is retained for as long as your account is active or as needed to fulfill legal obligations. Your business data is retained for the duration of your subscription and deleted upon account closure, subject to any applicable legal hold requirements. Anonymous analytics data may be retained in aggregated form for longer periods for product trend analysis. You may request deletion of your account and associated data at any time by contacting us.

9. Your Rights

Depending on your location, you may have the right to:

  • Access and receive a copy of the personal data we hold about you
  • Correct inaccurate or incomplete personal data
  • Request deletion of your personal data and business data
  • Object to or request restriction of certain processing activities
  • Data portability — receive your data in a structured, machine-readable format
  • Withdraw consent at any time where processing is based on consent
  • Lodge a complaint with a supervisory authority (EU/UK users)

10. Cookies and Tracking Technologies

11. Security

We implement industry-standard security measures to protect your data, including TLS encryption for all data in transit, bcrypt hashing for passwords, httpOnly and Secure flags on authentication cookies, and role-based access controls. Tenant data is logically isolated so that one organization cannot access another's data. While we take reasonable precautions, no method of transmission over the internet or electronic storage is 100% secure. We encourage you to use strong, unique passwords and notify us immediately of any suspected security breach.

12. Children's Privacy

The Service is not directed at individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected such information, please contact us and we will promptly delete it.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email and by updating the "Last updated" date at the top of this page. Your continued use of the Service after changes take effect constitutes your acceptance of the revised policy.
